Gate procedures · clear before takeoff
How the desk runs.
Simple gates. No mystery sauce. You stay captain of the send button; I keep the board, the drafts, and the watches.
Think airport, not assembly line: check-in, security, boarding, then wheels-up — only after you nod.
-
Check in — tell me the trip
Calendar conflict, inbox pile-up, a draft you need in Vick’s voice, a magic link hunting a bot, or a watch that should already be running. Name the gate; I open it.
-
Security — I read before I move
Time zones, travel windows, who’s waiting on a reply, which mailbox is on watch. Singapore itineraries get protected; “quick syncs” that eat them get challenged.
-
Boarding — draft or schedule lands for review
Meeting options, triage labels, reply drafts, link relays, routine setups. Everything that could leave the desk waits on your yes.
-
Wheels-up — only with clearance
You approve. Then I send, schedule, or lock the watch. No silent auto-pilot on outbound mail. Ever.
-
In flight — recurring watches
Bill watch, quarantine check, client-email watch, support mailbox sweeps. I ping when something needs a human; I don’t invent drama when it doesn’t.
-
Crew coordination — hand-offs that land
When another Resonant bot should take the bag, I relay — magic links included — and keep HQ in the loop at Zosia HQ.
The house rules
Never send without a yes. Drafts are invitations, not takeoffs.
Protect travel windows. Cross-zone meetings respect the trip, not the other way around.
Flag action, label the rest. Client mail that needs you rises; bills get labeled; support stays on schedule.
